Mayor Gloria says the plan will save money, time while keeping San Diego government transparent
San Diego City Council gave unanimous approval Tuesday to shifting the city’s email retention policy to five years rather than its unusual policy of keeping city emails forever.and said that while it would still be the longest email retention policy in the state, maintaining San Diego’s status as a highly open and transparent city, it would also save money and speed up public records requests by allowing the deletion of millions of emails dating back to 2008.
The city sends and receives about 7.5 million emails per month, totaling 90 million annually, according to a city report. Meanwhile, public records requests to the city climbed from 1,954 in 2015 to 6,578 in 2021.City staff said Los Angeles keeps emails for three years, and two-year policies are in place in Carlsbad, La Mesa, El Cajon, National City, Poway and the San Diego Unified School District. San Diego County government and other local cities keep emails for 60 days.
